WhatsApp AI Automation

WhatsApp AI

We build a custom AI agent directly on the official WhatsApp Business API, trained on your catalog, pricing and booking rules, so customers get accurate answers in seconds and your team only steps in when a conversation actually needs a human.

Business owner replying to customers on WhatsApp

What this is, and what it isn't

This is a from-scratch AI reply flow built on the WhatsApp Business API, the same official channel Meta gives verified businesses, not a bot templated inside a third-party inbox tool. Nothing about the conversation logic, the data it pulls from or the way it hands off to a human is off-the-shelf.

That's a different product from the Botspace, Wati and Respond.io pages you'll also find on this site. Those are pre-built platforms with ready-made flows, quick-reply menus and shared inboxes, and they get you live faster. This page is for businesses whose use case doesn't fit a template: real-time pricing that changes by product or project, multi-step qualification, or booking logic tied to your own calendar and CRM.

Being straightforward about the trade-off: a custom build takes longer to launch and costs more upfront than a platform subscription. If you need something running this week and your questions are mostly FAQs, Wati or Botspace will get you there faster. If your conversations need actual logic, this is the option built for that. A short call is usually the fastest way to work out which path fits, we scope it against your actual message volume and use case before recommending a direction.

Business owner replying to customers on WhatsApp

How the AI actually replies

The agent runs on your product catalog, pricing sheet, FAQ document and booking calendar, kept current so answers don't drift out of date. It reads incoming messages, matches intent (pricing question, availability check, complaint, general enquiry) and replies with the specific answer, not a generic deflection.

We connect it through n8n as the workflow layer between WhatsApp, your CRM (Zoho, HubSpot or whichever you run) and any internal tools that need to know a conversation happened. A new WhatsApp lead can land in your CRM as a qualified record automatically, tagged with what they asked about.

  • Instant replies to pricing, availability, hours and location questions using your real data, not static text
  • Lead qualification questions asked in sequence (budget, timeline, project type) before a conversation reaches a human
  • Booking and scheduling handled directly in chat, synced to your calendar
  • Every conversation logged to your CRM as a lead or contact record automatically
  • Confidence-based handoff: the AI answers what it knows and hands off cleanly when it doesn't

Where the human takes over

An AI agent that pretends to know everything is worse than no automation at all. We build a confidence threshold into every flow: if a customer asks something outside the agent's training (a custom quote, a complaint, a question with legal or contractual weight) it stops guessing and routes the conversation to your team with the full message history attached.

You set where that line sits. Some businesses want the AI handling only FAQs and everything else going to a person. Others want it running full qualification and booking, with humans only picking up edge cases. We scope that with you before build starts, not after something goes wrong.

Built on the official WhatsApp Business API

Because this runs on the WhatsApp Business API directly, it inherits Meta's own infrastructure and rules: verified business profile, message templates approved through Meta, and the 24-hour session window that governs when you can message freely versus when a template is required. We handle template submission and session logic as part of the build so you're not learning Meta's policies mid-launch.

This also means the automation scales the way WhatsApp itself scales. There's no per-seat platform fee layered on top and no vendor lock-in to a third party's roadmap.

Example workflows

Customer asks for a price list

A customer messages "price list" or asks how much a specific package costs. The AI checks your product catalog, replies with current pricing and relevant package details, then asks a qualifying follow-up (which service, what timeline). If the customer then asks something outside its confidence, like a custom bulk discount, it hands off to a human agent with the full conversation attached instead of guessing at a number.

  1. 01Customer sends a WhatsApp message asking about pricing
  2. 02AI matches intent and pulls the relevant product or service from the catalog
  3. 03AI replies with pricing and asks a qualifying question
  4. 04If the next question falls outside its training, the conversation routes to a human with context attached
  5. 05Lead is logged in the CRM regardless of who closes the conversation

Booking without back-and-forth

A customer wants to book a call or appointment. The AI checks calendar availability through the connected booking system, offers open slots, confirms the booking and sends a reminder closer to the time, all inside the same WhatsApp thread the customer already started.

trigger: whatsapp.message (intent = booking)
  -> check calendar availability
  -> offer open slots
  -> confirm booking
  -> create CRM record + calendar event
  -> schedule reminder message

Frequently asked questions

Yes. We build on Meta's official WhatsApp Business API, which means every message respects Meta's messaging policies. The 24-hour session window applies: within 24 hours of a customer's last message you can reply freely, outside that window any business-initiated message has to use a pre-approved template. We handle template submission and approval as part of the build, and the AI is designed to work within these windows automatically rather than triggering a compliance issue.

Those are pre-built platforms with ready-made flows and inboxes that get you live in a week or two. This is a fully custom AI build with no template underneath it, better suited when your use case needs logic a template can't handle, like real-time pricing or multi-step qualification tied to your own CRM. It costs more and takes longer to launch. If a platform fits your needs, we'll say so rather than sell you the more expensive option.

We don't hide it, and we don't recommend you do either. Customers respond better to a bot that's upfront about what it is and hands off cleanly than one pretending to be a person and failing at it. The agent is trained on your actual tone and information, so the experience feels accurate and useful even when it's clearly automated.

It hands off. Every build includes a confidence threshold: questions the AI is trained to answer get answered directly, anything outside that gets routed to a human with the full conversation history attached, so your team isn't starting from zero. You decide where that line sits based on how much of the conversation you want automated.

Typically 2 to 5 weeks depending on how much the AI needs to know, how many systems it connects to (CRM, booking calendar, inventory) and how much qualification logic is involved. Simple catalog and FAQ builds land on the shorter end, multi-step booking and CRM-integrated flows take longer.

You'll need a verified WhatsApp Business account, and if you don't have one yet, we handle the setup and verification as part of the project. We'll also need API access to whichever CRM and booking tools the automation connects to.
